• Waitlist & Account Information: Name, email address, phone number, clinic name, and city when you sign up.
• Clinic Data: Doctor names, schedules, services offered, and FAQs that clinic administrators enter into the system.
• Conversation Data: Messages exchanged between patients and the AI assistant on WhatsApp, used to provide the service and improve response quality.
• Appointment Data: Patient names, phone numbers, appointment dates/times, and related booking information.
• Usage Data: How you interact with our admin dashboard, API usage statistics, and feature usage patterns.

2. How We Use Your Information

• To provide and maintain the CareBuddy AI service, including processing appointments and sending reminders.
• To respond to patient queries via WhatsApp on behalf of your clinic.
• To send you service-related communications (setup instructions, feature updates, billing notifications).
• To improve our AI responses and service quality.
• To comply with legal obligations.

3. Data Storage & Security

Your data is stored on secure cloud infrastructure hosted by Railway (Google Cloud Platform). We use industry-standard encryption for data in transit (TLS 1.2+) and at rest. Database access is restricted to authorized application services only.

We do not sell, rent, or share your personal data or patient data with third parties for marketing purposes.

4. Third-Party Services

CareBuddy AI integrates with the following third-party services to provide its functionality:

• WhatsApp Business API (Meta): For messaging between patients and the AI assistant.
• Google Gemini AI: For natural language understanding and response generation.
• Railway: For cloud hosting and database infrastructure.

Each of these services has their own privacy policies governing data processing.

5. Data Retention

We retain your data for as long as your account is active or as needed to provide the service. Conversation logs are retained for 90 days for service quality purposes. You may request deletion of your data at any time by contacting us.
